Documents and email from the assistant
The assistant can write finished documents for you and send them by email — without you opening a word processor or a separate email account. Need a loan agreement, a letter to the neighbour about the building work, or a notice? Say it in plain words, and you get a PDF you can read over, download and send on. The same field you type in otherwise — Type a message... on the home screen — is the way in.
Quotes and invoices are their own flow, with their own templates and sending; you make those as before, and the assistant does not use this path for them. This is for the written documents that otherwise had no place in the app.
Ask the assistant to write a document
Say what the document should be and what it should contain, and the assistant writes it out as a PDF:
- Type what you need in the message field — "write a loan agreement for 50,000 kroner between me and Ola Nordmann, paid back over two years" or "write a letter to the neighbour that we start digging on Monday".
- The assistant gets going. In the lines above the conversation you see the step "Creating document" while it works.
- The document opens in a panel beside the conversation, marked Document at the top, with the title and the PDF itself below. You page through it right there.
- Read it over. If something is wrong, just say what should change — "set the interest to 4 percent", "add a clause about late payment" — and the document comes back as a new version.
The document gets a fixed, tidy layout: your company at the top, the title, the date, the text itself, and signature lines at the bottom with place and date for each person who signs. You don't have to ask for it — the assistant fills in the content, and the layout sets the rest.
The assistant writes agreements, letters, notices and simple lists. It does not put images or links inside the document — it is plain text with headings, emphasis, bullet lists and simple tables, so the result is a sober document that looks the same every time.
Versions — the old one stays
Every time you ask for a change, the assistant makes a new version. The previous one stays untouched. At the top of the panel the versions sit as buttons — v1, v2 and so on — and you can tap back to an earlier version to see what it said. That means an email you already sent with version 1 attached keeps exactly what it sent, even if you later make a version 2.
In the browser you can download the PDF with Download PDF. In the app on your phone that button isn't there — instead you email the document to yourself to get hold of the file (more on that below).
The documents are yours: only the person who made a document can open it. A colleague does not see it in their own list.
Send an email
The assistant can send email on your behalf — to yourself, to a customer, to the accountant — with a document it just made or a company file attached.
- Say who the email is for and what it should contain — "send the agreement to ola@firma.no", or "email me the PDF".
- The assistant prepares the email. In the lines above you see "Preparing email".
- A card opens, marked Email, laid out like an email client: From, To, Cc and Reply to on their own rows, the subject as the title, the text below, and the attachments as tiles at the bottom. If you are among the recipients, your address is marked you.
- Top right it reads Draft as long as the email is unsent. Read it over, and send with the Send the email button at the foot — or tell the assistant to send it.
The email goes out in the company's name, as "
You confirm before anything goes to others
An email only to yourself is sent without you having to confirm anything — then the button reads Send to me. For anyone else, you must either have written the address yourself ("send it to ola@firma.no" is the go-ahead in itself), or have said yes after seeing the email on screen. If the assistant makes up a recipient you never mentioned, it stops and asks first. That way nothing goes out to a stranger's address without you actually asking for it.
An email that has been sent never changes. Want to send the same thing to one more person? The assistant makes a new email to the new recipient.
Attachments
You can attach a document the assistant made, or a file already in the company — a receipt, an invoice, a photo. "Send the latest Byggmax receipt to the accountant" fetches the file and attaches it. You can include several attachments, up to ten recipients, and the whole email stays under about 9 MB, so it gets through.
Follow whether the email arrived
The status at the top of the email card tells you where it is:
- Draft — written, but not sent yet.
- Queued / Sending — on its way to the mail service.
- Sent — the mail service has accepted it. That is not the same as it being delivered.
- Delivered — the recipient's server has confirmed it arrived.
- Bounced — the recipient's server did not accept it. Check the address.
- Not sent — it did not go out; nothing was sent.
- Unsure if sent — we don't know whether it went out. Check with the recipient before asking to send it again.
You can also just ask: "did the email go out?", and the assistant checks the status for you.
Who can use it
Everyone on the team who works in the company can ask the assistant to write documents and send email — it follows your normal access. A read-only access does not have it. To attach a company file, you also need the right to see that file in the first place. More on roles and access in the team, roles and access.
