Out on the job

The project

The rest of the handbook keeps saying things "land on the right project" — the photo, the receipt, the hours. The project is where they land. It is the job gathered in one place: the quotes that belong to it, what has been earned and accrued, the hours the team has logged, and the site log that shows what happened when.

Create a project

A project usually grows out of a quote. When the customer accepts, the agent asks whether it should create the project and set up hour tracking — say yes and the job is under way. Want to steer it yourself? Do it from the quote:

  1. Open the quote and tap Project at the top.
  2. The agent asks Which project does this quote belong to?. If the project already exists, pick it from the list — otherwise tap New project.
  3. Type the name of the job and tap Create. The quote is attached right away.
  4. Want the quote to stand on its own? Choose No project — you can create the project later.

One project can hold several quotes, and you can Move to project or Remove from project at any time from the quote's project button. Each project gets its own number — for example 12-26 — so the job is easy to find again.

The economics of the job

At the top of the project sits Economy — three figures that tell you where the job stands:

Quoted — the sum of the quotes on the project. If any are still drafts, it says so next to the figure.

Accrued — the costs that have landed on the job so far, posted from receipts, bank and payroll.

Hours — the hours the team has logged on the project.

Need the whole calculation? Tap Project result — it opens the accounts for the job with everything earned and spent. Don't see the figures? Project economics follow your access: a foreman and the office see them, an employee doesn't need to. More on that in the team, roles and access.

Documents

Under Documents are the quotes that belong to the job — each with its number, sum and status: Draft, Sent or Accepted. Tap Open quote to jump straight to one, or Add quote to make a new one on the project. That way you see at a glance what has been sent, what is waiting on the customer, and what is signed.

The site log

At the bottom is Site log — the timeline for the job. Costs and hours join it as they come in, dated and grouped month by month, so you can scroll back and see what happened when. If you haven't logged anything yet, it reads "No activity yet. Costs and hours you log on this project show up here." — tap Log hours to add the first ones.

Active or archived

A project is Active while the job is running. Once it's done, tap Archive — it doesn't disappear, it just steps aside so the list stays tidy. Need it back? Tap Reactivate. If something is happening on site on a set day, tap Plan and put the job in the calendar.
